Post Ceremony Function

We will be providing a limited selection of roaming canapes at the post-ceremony function (including dietary options for gluten-free, dairy-free, nut-free, vegan/vegetarian, and halal*), with drinks available for purchase. Alternatively, retail stores across the Clayton campus will be open for families to purchase substantial meals before or after the ceremony.

* We do our best to ensure our staff and suppliers adhere to the strictest regulations with regards to food safety but we never assume that all parties get it right all the time. Our menu may contain traces of allergens, or traces of foods that are culturally/ethically undesirable

Ticket Information

All graduates have the ability to register a maximum of two guest tickets (three, if an extra guest ticket is purchased).

Each guest can be emailed their electronic ticket directly.

Gown Collection Times and Locations


Gown Collection Times:
11am ceremonies - Gown collection is open from 8am
4pm ceremonies - Gown collection is open from 1pm

Academic Dress Information


Do I have to wear Academic Dress to participate in my Graduation Ceremony?
Yes. You will be required to wear the prescribed academic dress for the award level in which you are graduating.
This includes a gown, a mortarboard, hood and/or stole in the appropriate faculty colour.

How much will my Academic Dress hire cost?
The cost of academic dress hire is included in your graduation fee.
For a coursework student, you keep your mortarboard as a souvenir mortarboard.
For a research graduate, you keep your PhD bonnet as a souvenir keepsake.

I am receiving a Double Degree, how do I order my Academic Dress?
If you are receiving a double degree, then you only need to attend one celebration and place one order for academic dress.
The university will prescribe which colour hood you are required to wear on graduation day.

When do I hire my Academic Dress?
You will receive a link, in your Ceremony details email, to book your academic dress.

How do I work out my Gown Size?
When you place your order online you will have the option to select your size from the size chart, this will allow us to ensure you have the correct size.

When do I return my Academic Dress?
Gowns must be returned within 2 hours of the ceremony finishing.
Failure to return your Academic Dress will incur a late fee. Please refer to the Terms & Conditions below.

Do I have to wear anything specific?
It is important to note the gown is open at the front; therefore what you are wearing underneath is visible. It is for this reason we recommend you wear business attire, and comfortable shoes suitable to be worn on grass. Information regarding gown hire and academic dress rules can be found on the Graduations website. If the day is warm, you may want to remove your jacket as the gowns are quite heavy and it may be hot in the auditorium. 

Terms and Conditions
Academic Dress Hire - Academic Dress MUST be booked a minimum of 3 days in advance of your ceremony to avoid a late booking fee of $35.

Return of Academic Dress - Academic Dress is to be returned within 2 hours of the ceremony finishing. Failure to return Academic Dress on time will incur a charge equivalent to the balance of the purchase price of the regalia.

Cancellation of Order - If you need to cancel your order please contact Customer Service to arrange your refund.

 

How to wear your academic dress


Gown
- The gown is worn over the top of your clothing like a jacket, undergraduate's arms go through the sleeve, postgraduate students arm's slide through an opening in the sleeve.
Faculty Hood - For all degrees the hood is then placed over the top of your gown and worn with the colour hanging down the back of the gown and the V at the front of your neck. (For Graduates wearing a button shirt, there is a button hook to allow you to hook the hood on to stop it from moving about)
Mortarboard - The Mortarboard is worn with short peak to the front of your head and the long peak at the back of the head, with the tassel placed on the left hand side of the head.
In order to be permitted to cross the stage, your gown, hood and mortarboard must be worn as described above. Mortarboards should not be pinned back or decorated/embellished, and gowns should not be covered. Please keep this in mind when getting ready for the day.

If further guest tickets become available for your ceremony after registrations close, we will let you know via email.

Studio Photography
Leave your graduation photos to the experts.
GFP’s photography team will provide you and your family with a professional studio session that includes a wide range of individual, family and fun images.

Stage Photography (Ceremony Only)
GFP professional photography team will capture your moment on stage.
Prints including the university logo, border and year of graduation are available for pickup at the conclusion of the ceremony.
Your stage photo will also be available to view and purchase through our website following your ceremony.

Plaques
Add the finishing touch to your degree certificate with a certificate plaque.
Our plaques, available in Gold or Silver, can be mounted to a variety of bases and are a wonderful way to display your certificate at home or the office.
Pre-order your frame or plaque today through our Graduation Portal. 
We will require a copy of your certificate in order to produce your plaque. Please email a copy to info@gfp.com.au. If you haven't received your certificate from your university yet,
please let us know, and we will keep your order on hold in the meantime. Your certificate will then be reproduced onto your plaque.

Terms & Conditions For Prize Pool Photography: 

  1. The winning graduate will be drawn randomly from the pool of all pre-orders placed for any Photography package before 16th of November 2023. 
  2. You can only enter once, and you must be registered as the eligible graduate. No family members are allowed to take part in this competition.
  3. To be eligible for the draw you must order one of our Graduation Photography packages before the 16th of November 2023 (order received by 11:59pm on November 15th).
  4. To stay eligible for the draw, the graduate cannot withdraw their Photography order later or on Graduation Day.
  5. The winner will be announced via poster at the Graduation event as well as contacted by GFP Events via SMS.
  6. The winner must collect their prize at the Graduation event. The voucher cannot be exchanged for cash or any other monetary substitute.
  7. The winner will agree to have a photo taken with our VIC State Manager handing over the prize and agree for GFP Events to use their name for announcement on social media.
